AHEFSS Archive — Preserving an Association's History Online
Purpose-Built Archival Platform with Unlimited Progressive Galleries, Session-Toggle Navbar, and Non-Technical Content Workflows
The Problem
AHEFSS had no digital presence — no website, no archive, no record of its history beyond physical documents, printed photos, and institutional memory that existed only in the people who'd been there. Everything was offline and at risk of being lost entirely. The association needed a permanent digital home that could hold its past, grow with its future, and be maintained by people with no technical background.
Key Bottlenecks Before Engineering:
- Zero prior digital presence — decades of history solely preserved in offline physical documents and printed photographs.
- Institutional memory at immediate risk of permanent loss across leadership transitions.
- Requirement for a permanent digital home that grows continuously without degrading in performance.
- Essential constraint: The platform must be easily managed and updated by administrators with no technical coding background.
What I Built
A purpose-built archival platform that treats the association's history as the product — not a company brochure with an 'About' page bolted on.
The Hard Problems I Solved:
Conflicting client requirements, consolidated
The brief came from multiple stakeholders with different ideas of what the site should be. I consolidated the conflicting specs into a single coherent product definition before writing a line of code, then produced structured build prompts for the coding agent from that consolidated spec. No scope creep mid-build.
Session-toggle navbar
The navigation adapts based on whether a user is in a public browsing session or an authenticated admin session, without a full page reload or layout shift. One interface, two modes — clean and seamless.
Unlimited galleries with lazy loading
Photo galleries aren't capped. Admins can add as many collections as the association accumulates over time. Images load progressively via Cloudinary so page performance doesn't degrade as the archive grows.
Persistent Founder Credit block
The founding members of the association are permanently surfaced in the UI — not buried in an about page. It's a structural decision: whoever maintains the site in future cannot accidentally remove or overwrite it.
Cloudinary media pipeline
All images are stored and served through Cloudinary with optimised delivery. Admins upload directly without needing to manage file sizes, formats, or hosting.
The Result
AHEFSS now has a permanent digital archive — the first in the association's history. Decades of institutional memory that existed only in physical form are now accessible, searchable, and protected from loss. The platform is live on Vercel and maintainable by non-technical administrators.
